What is Wrike?

“Wrike” is an on-line web PM tool which allows a number of team members to update their tasks and status. The tool is offered for a 2 week trial base, after which it is required to pay for the service.

Method 1 : The old fashioned way: 

Simply type in the tasks in the “New Task”, and after hitting “enter” it is possible to add the start and finish dates, assign resources, etc. (see screen shot above).

Method 2 : Import an MS-Project file: 

If there is an MSP file it is possible to import it into the Wrike tool quite easily. Open the three dotted vertical line at the top of the menu bar, and choose “Import -> MS Project” (see screen shot below).

Method 3: Import an Excel file: 

This option requires using a specific template which is compatible with Wrike’s requirements. The template is available when clicking on the option of importing the Excel file. Open the three dotted vertical line at the top of the menu bar, and choose “Import -> Excel (Wrike’s template)” (see screen shot below).

Once all of the tasks are in the work plan, it is possible to link between them (creating predecessors and successors). This can be done by choosing a certain task on the left side, and then clicking on the “add dependency” at the top of the right side of the screen. Once clicked, a menu will appear asking the user to choose either the predecessor or the successor (See screen shot below).

How to view work plan in Gantt Chart ?

Once the tasks, dates and resources are set, it is possible to view the work plan in a Gantt chart format: Click on “Timeline” at the top of the menu –

Resource Management in Wrike

Once the tasks are added to the plan, it is possible to allocate them to the team members of the project. The process is quite simple, and requires a first time set up of the resources. In order to allocate a resource simply click on the task on the left side of the screen. On the top right side of the screen click on “add assignee” button, and add the E-mail of the team-member. Once the E-mail is entered it is saved in the database of the work plan and can be used again.

The team-member will receive an E-mail informing them that they have been assigned a task, with a confirmation link. Once confirmed, the work plan owner who assigned the team-member to a task will receive an E-mail that the team-member accepted the task. Once assigned a task, the team-member will receive an automatic E-mail reminding them that they have a pending task which they need to complete.

In the work plan it is possible to filter on any specific team-member by clicking on the filter logo at the top of the work plan, and choosing the team-member –

Risk and Change Management in Wrike

It is possible to add comments to each and every task of the work plan, and this field can be used to alert the team of the risks associated with a task. Other than that there isn’t a designated field for risks. It is simple to change the duration and start / end dates of each task, and thus manage the inevitable changes associated with each project plan. The tool presents the current and former dates of each changed task, so it is simple to see the plan and actual dates. However, In the Gantt chart (timeline view in the tool) only the current dates appear. See screen shot below – See screen shot below –

How quick does Wrike responds? 

The tool responds quickly to the commands and requests of the user (of course this is dependent on the users’ bandwidth).

Look and Feel of Wrike

The interface is simple and intuitive, where most of the menus are easily accessible and don’t require much searching in order to find them. All in all the tool allows all the team members to see their allocated tasks, overall timeline and risks in a straight forward setting which is accessible to them all.
